Device Management

Device Management

Device Management is a security mechanism designed to ensure that only authorized devices can use FileFlex Enterprise. Device management is used with the user’s FileFlex login credentials to authenticate both the user and device as a type of two-factor authentication for better security. For example, if an adversary tricked a user to reveal their username and password through phishing, they would still be unable to access organizational storage as those credentials are only accepted when sent from devices that have been authorized by the FileFlex administrator.

Device management can only be set up and administered by the FileFlex administrator via a FileFlex Enterprise desktop client. Devices cannot be administered from the FileFlex web client or from the Android or iOS clients. If device management is enabled, then users are prohibited from using the FileFlex Enterprise web client. They must use the FileFlex Enterprise native clients for Widows, Mac, Android or iOS.

Enabling Device Management

To enable device management:

  1. In the Company Management tab, click the Device Management icon located in the Navigation Pane Activity Bar.
  2. Click the Device Management Icon

  3. In the Device Control dialog box, click the Restrict access by device radio button.
  4. Click the Restrict access by device radio button to enable

Enabling/Adding Devices

  1. From the device being added, ask the user to attempt to log in to FileFlex using a FileFlex native client (not from the web client). This will cause that device to appear on the Device Control list as an unknown device that you can easily enable from the console.
  2. In the Company Management tab, click the Device Management icon located in the Navigation Pane Activity Bar.
  3. Click the Device Management Icon

  4. In the Device Control dialog box you will see a list of all devices that have been either authorized, disabled or that are unknown. The new device being added will display on this list as unknown. Click the Enable link beside the device to be added. You should then rename the device for easy identification.
  5. Enabling a device

Renaming Devices

Once the device has been enabled, you should rename the device within FileFlex so that you can easily identify it later. If your device list grows to hundreds or even thousands of devices, this will be important.

To rename a device:

  1. Click the Edit link beside the device to rename.

  3. Enter the new name in the Device name entry box.
  4. Enter device name
